Step 1: Separate accounts

Start here before you do anything else. Setting up a separate side business account keeps everything organized and cuts down on cleanup time.

Step 2: Choose a tracking method you’ll maintain

If your side business is small, a spreadsheet can work. If you have multiple income streams, a payment processor, inventory, or frequent expenses, accounting software will usually save you time. This is a good time to check in with your accountant and see what they recommend.

Step 3: Track by category, not by memory

Use categories that match your business. A simple set might include:

  • Income
  • Advertising and marketing
  • Supplies
  • Software and subscriptions
  • Contractor payments
  • Travel and mileage
  • Meals
  • Education
  • Home office (if applicable)

Step 4: Do a monthly check-in

Once a month, match bank and card activity to your tracker. This is how you catch missed income, duplicates, and uncategorized expenses early.

Step 5: Create a “weird items” file

Anytime something unusual happens, for instance, new equipment, a refund, or a big trip, snap a photo, upload it to a folder, and add a quick note for anything unusual.
