The Structural Problems That Make Your Books Messy
Last time, we covered the obvious warning signs: tax season was disorganized, you were always playing catch-up, and you could not trust your reports. Now let’s talk about behind-the-scenes problems. These are the issues that make bookkeeping harder than it needs to be, even when you have good intentions.
Warning sign #4: Business and personal expenses are mixed together
This one makes deductions harder to support, reports less useful, and tax prep slower.
What to do: Use a business-only bank account and credit card. Pay yourself in a consistent way. If you cover a business expense personally, reimburse it and document it.
Warning sign #5: Your chart of accounts is a junk drawer
If the “Miscellaneous” and “Other” accounts are where you park most of your expenses, your reports won’t tell you what you need to know.
What to do: Keep categories straightforward. Build them around how you actually talk about the business.
Warning sign #6: You use the bank balance as your scoreboard
A healthy bank balance can hide problems. You might have big invoices hit, bills you have not paid yet, or debt piling up in the background.
What to do: Review these monthly:
- Profit & Loss
- Balance Sheet
- Accounts Receivable (who owes you and how old it is)
If any of these are not accurate, make it your priority to investigate and fix them.
